To move from 12twenty to Prentus, export your Custom Reports to Excel, download the Site Settings Data Export file, ask your 12twenty account manager for anything the reports miss, and share the files with Prentus. Prentus maps and loads students, notes, appointments, employers, jobs, events, outcomes, resumes and custom fields.
What does a 12twenty to Prentus migration involve? It is a one-time move of your career center's records out of 12twenty and into Prentus. 12twenty admins can export students from Candidate Search, run Custom Reports to Excel for students, notes, appointments, events, employers, contacts, job postings and outcomes, and download a student and outcome file from Site Settings, Data Export. Resumes come out as one combined PDF or as a full resume book. For a programmatic pull, the 12twenty customer success team issues an API key, and the API allows 5,000 requests a day with 3 running at once. 12twenty's public website terms say it has no obligation to provide a copy of your content, but your institutional agreement is a separate contract. Prentus maps your files to its structure and loads them, matching students by student ID or email, and students can be live in as little as 24 hours after Prentus receives your files.
This guide is based on 12twenty's public help center, release notes and website terms as we read them on October 14, 2026. Each fact links to its source. Your signed agreement has the final word.
What you can export from 12twenty yourself
Students and the Data Export file
In Candidate Search, use "Export Selected Students to Excel" or "Export All Students to Excel". Site Settings has a Data Export area with a student and outcome export and an "All Data Export file" (Candidate Search Actions). Columns depend on your school's custom attributes, and 12twenty added the Student Group column to exports in 2026 (2026 release notes).
Custom Reports
Custom Reports export to Excel from the Action menu. The report types include these (Custom Reports Overview).
- Students and notes. Custom Student Report and Custom Notes Report.
- Appointments. Appointments Report and Adviser Activity Report.
- Events. Custom Events Report, Student Registrants Report and Job Fair Employer Registrants Report.
- Employers and jobs. Custom Employers and Contacts Reports, Custom Job Posting Report and Applicants Report.
- Outcomes. Custom Outcomes Report and Outcomes by Attribute.
A custom report belongs to the person who built it, and another admin has to duplicate it to edit it. Filters combine with AND only. You can export from an unsaved preview, but the report is gone when the page closes, so save it first (Custom Reports Overview). Custom reports can also be distributed by email on a schedule as a link to a CSV (Publishing and Distributing Custom Reports).
Standard outcome reports
Standard Reports for MBA CSEA, ABA, NALP and NACE have "Export Results" and "Export Raw Data" options, and which ones you see depends on your modules (Reporting Overview). The fixed "12twenty Reports" export the last generated report as a CSV (12twenty Reports).
Contacts and resumes
- Contacts. In the Contact Directory, apply filters, then use "Export Results" for an XLS file (Exporting Contacts).
- Selected resumes. Candidate Search has "Download Selected Resume(s) to PDF", which produces one combined PDF, plus a per-student "Download Resume" (Candidate Search Actions).
- Resume books. Each resume book has a "Download Full Book" option (Downloading Resume Books).
The 12twenty API
12twenty runs a REST API, version 2, that returns JSON. The customer success team provides an API key, you exchange it for a token, and the token expires after 24 hours. The endpoint list lives on your own school's admin subdomain, so it is not public (12twenty API).
- Limits. 3 concurrent requests per school and 5,000 requests per day. Extra calls return a 429 error.
- Paging. 25 records per page by default and 500 at most. List calls return only some properties, so each record needs its own call for every field.
- Pace. 12twenty says "infrequent, larger scale data synchronization processes" should run over several days.
- Sandbox. A sandbox is available and refreshes from production every six weeks.
- Deleted students. The Students API leaves out deleted students (2026 release notes).
What to ask your 12twenty account manager for
12twenty's public website terms say it "has no obligation to store, maintain or provide you a copy of any content", and that termination "may involve deletion of your content and information" (12twenty terms of service). Those are website terms. Your institutional agreement is a separate signed contract. The privacy policy says 12twenty will respond within a reasonable timeframe when a university asks it to remove data (12twenty privacy policy). The help center has no offboarding article, so put these items in one email.
- A full export. Ask your account manager for a full export of anything your reports miss.
- Original resume files. The bulk download is one combined PDF. Ask your account manager whether originals can come as separate files.
- Appointment notes and documents. Whether the Data Export file includes them is not documented. Ask your account manager.
- Hidden notes. Notes can be set to "Me Only" or to groups (Note Upload Tool). Ask your account manager for notes your admin role cannot see.
- Mentorship programs. 12twenty has a Mentorship Programs module with reporting, but the export steps are not public (Configuring Mentorships). Ask your account manager.
- Application packets. Ask your account manager how to download them in bulk.
- Contract terms. Ask your account manager what your agreement says about returning data at the end of the term.
Things to plan for
- Every school’s columns differ. Export columns follow your custom attributes, so no two 12twenty exports look the same. Prentus maps them to its structure.
- Spot-check row counts. 12twenty fixed several export bugs in 2025 and 2026, including "Export All" ignoring filters and errors on large employer and student exports (2025 release notes, 2026 release notes). Compare your file counts with the platform.
- Data Studio is in beta. If your school has it, results show 50 rows per page and export to Excel from the Action menu (Data Studio).
- Student notes stay private. 12twenty notes are never visible to student or alumni users, so students cannot save them on their own.

Step-by-step plan
- Pick one admin. Choose a site admin whose role can see every note and every module you use.
- Pull the Data Export file. Download the student and outcome export from Site Settings.
- Run and save your Custom Reports. Export students, notes, appointments, events, employers, contacts, job postings, applicants and outcomes to Excel.
- Download resumes. Use Candidate Search and Resume Books, then ask your account manager about original files.
- Email your account manager. Request anything the reports miss, and an API key if you want a programmatic pull.
- Share the files with Prentus. Use whatever transfer method suits your team.
- Prentus maps and loads. Students are matched by student ID or email. Your team approves any transfers from existing Prentus accounts.
- Review, sign off and invite students. Students can be live in as little as 24 hours after Prentus receives your files.
What Prentus does on its side
Your team exports what it can, or asks the 12twenty account manager for a full export, and signs off on the result. Prentus maps the data to its structure and loads it.
- Any format. Prentus accepts what your export produces, including CSV, XLSX and ZIP files of documents.
- Student matching. Students are matched by your student ID when you have one, otherwise by email.
- Existing Prentus users. Students who already have a Prentus account move into your community through a transfer queue that your team approves.
- File handling. Share the files however you like. Prentus stores them once and deletes them after the import.
- Timing. From the time Prentus receives your files, students can be live in as little as 24 hours.
- Cost. The one-time import is free for every customer. Re-runs are handled case by case.
- Your own pull. Teams that prefer to do the work themselves can use the Prentus APIs. See Prentus integrations.
The import is one part of a wider rollout. See how Prentus works with your team. If your first-destination reporting moves with you, read our guide to NACE first-destination survey requirements and our ranking of first-destination survey software.
