To move from EAB Navigate to Prentus, have an App Admin pull the Navigate Data Export files from S3, export Navigate reports as CSV for anything else, and ask your EAB account manager for the rest. Prentus maps and loads students, appointments, notes and custom fields, plus career records you keep in other systems.
What does an EAB Navigate to Prentus migration involve? It is a one-time move of advising records out of EAB Navigate, also called Navigate360, and into Prentus. Navigate is an advising and student success system, so the records that move are mainly students, appointments and notes. An App Admin can generate Data Export Credentials on the Navigate Administration page and pull export files from an Amazon S3 bucket. EAB's Construct connector lists 12 export files, and the credentials expire every 90 days. Staff can also run Navigate reports and export the results as CSV. Report exports cut notes at 32,000 characters, so ask your EAB account manager for the full text of longer notes. Prentus maps your files to its structure and loads them, matching students by student ID or email. Students can be live in as little as 24 hours after Prentus receives your files.
This guide is based on EAB's public pages, EAB's Rapid Insight help center and university IT how-tos, as we read them on October 14, 2026. The Navigate Help Center needs EAB partner access (Navigate360 resource hub), so several steps end with a question for your account manager.
What you can export from Navigate yourself
The Data Export feature
An App Admin generates "Data Export Credentials" on the Navigate Administration page. The files then appear in an Amazon S3 bucket under an /exports/ directory, and EAB's Construct connector lists 12 export files. The credentials expire every 90 days, and the secret is shown once, so store it safely. If the page does not show the option, contact [email protected] to get access (Create a Connection in Construct). EAB covered the feature in a March 9, 2023 webinar (EAB feature spotlight). The list of files and their fields is not public.
Reports to CSV
Every Navigate report has an Export Results action that downloads a .csv file. Hidden columns stay hidden in the export. Reports with more than 50,000 results must be exported and do not display in Navigate. Saved reports can be scheduled daily, weekly or monthly, with one schedule per saved report and an email when the file is ready. The download links are tied to the user who scheduled them (Reporting Basics). The reports a move needs most are these (Reports, Reports and Report Actions).
- Student Info. A student appears only if active in the selected term.
- Appointments. One row per appointment, and one row per student for group appointments. Appointment Summaries, Appointment Requests and Check-Ins are separate reports.
- Notes. Notes written outside appointments. The export carries the first 32,000 characters of each note, and the full note stays on the Student Profile.
- Interventions. Alerts and referrals, progress reports, enrollment census campaigns and cases.
- Student data. Enrollments, assignments, attendance and study hall.
API
We did not find a public outbound API reference for Navigate. Public documents describe data going into Navigate, such as a nightly SIS feed and course registrations by API (VCCS Navigate service page). The Data Export files and report exports are the documented ways out. Ask your account manager if you need another route.
What to ask your EAB account manager for
EAB has no public offboarding article. The public Navigate360 Terms of Use, in a copy hosted on Georgia State's Navigate site, say "any termination of Services may involve deletion of Your Content" (Navigate360 Terms of Use). Those are general terms, not your negotiated contract. Put these items in one email to your account manager.
- The 12 export files. Ask your account manager what each file contains, field by field.
- Full note text. Ask for the complete text of notes longer than 32,000 characters.
- Anything the files and reports miss. Ask your account manager for a complete export of the rest.
- Contract and data processing terms. EAB also publishes a Data Processing Addendum. Ask your account manager what your signed contract and addendum say about returning and deleting your data.
Things to plan for
- Care Units hide rows. Many reports depend on Care Units, so an export can silently drop students. Run reports with a role that has every Care Unit (Reports).
- Terms hide students. A student with no activity in the chosen term is missing from the report. Choose all terms.
- Long notes get cut. The 32,000-character limit applies to report exports, not to the notes themselves (Reports and Report Actions).
- Credentials expire. Data Export Credentials last 90 days. Generate fresh ones if your pull runs late.
- Career records may live elsewhere. We did not find employers, jobs, applications, events or resumes as Navigate objects. Export those records from their own system.
- Notes are sensitive. Advising notes are student records. Agree the transfer method with whoever owns student privacy at your school.
Plan your move
Map your Navigate exports to Prentus
Book a demo and we will look at your Navigate reports and export files, what to request from EAB, and how each record lands in Prentus.
What moves from EAB Navigate to Prentus
Everything in this table can come over. Where EAB documents no route, the middle column says so.
| What moves | How you export it from EAB Navigate | What Prentus does with it |
|---|---|---|
| Students | Student Info report with all terms, or the Data Export files | Matched by student ID or email, then loaded as student records |
| Appointments and notes | Appointments, Appointment Summaries and Notes reports. Ask your account manager for notes past 32,000 characters | Loaded as appointment history with notes |
| Custom fields | Not publicly documented. Ask your account manager which export files carry them | Mapped to Prentus fields |
| Employers, jobs, events, outcomes and resumes | Exported from whichever system your school keeps them in | Loaded alongside your Navigate records |
Step-by-step plan
- Pull the Data Export files. An App Admin generates credentials, or asks [email protected] to turn the feature on, then downloads the S3 files.
- Run the reports. Export Student Info, Appointments, Appointment Summaries and Notes as CSV, with all terms and a role that has every Care Unit.
- Email your account manager. Ask for the file contents, full note text and anything else missing.
- Gather career records from other systems. Export employers, jobs, events and outcomes wherever they live.
- Share the files with Prentus. Use whatever transfer method suits your team.
- Prentus maps and loads. Students are matched by student ID or email. Your team approves any transfers from existing Prentus accounts.
- Review, sign off and invite students. Students can be live in as little as 24 hours after Prentus receives your files. Keep Navigate running until Prentus confirms the import.
What Prentus does on its side
Your team exports what it can, or asks the EAB account manager for a full export, and signs off on the result. Prentus maps the data to its structure and loads it.
- Any format. Prentus accepts what your export produces, including CSV, XLSX and ZIP files of documents.
- Student matching. Students are matched by your student ID when you have one, otherwise by email.
- Existing Prentus users. Students who already have a Prentus account move into your community through a transfer queue that your team approves.
- File handling. Share the files however you like. Prentus stores them once and deletes them after the import.
- Timing. From the time Prentus receives your files, students can be live in as little as 24 hours.
- Cost. The one-time import is free for every customer. Re-runs are handled case by case.
- Your own pull. Teams that prefer to do the work themselves can use the Prentus APIs. See Prentus integrations.
The import is one part of a wider rollout. See how Prentus works with your team. If you are comparing advising tools, read our ranking of student advising software for colleges and universities and our guide to AI career advising tools for understaffed teams.
